Senior Operations Manager, Custodial Services
Job Description Summary
The Senior Operations Manager, Custodial Services position manages, plans, organizes and controls daily operations for a custodial operation on a large university campus. This role focuses on maintaining cleanliness and resolving operational issues to ensure performance standards are met. Operations include custodial maintenance, minor repair maintenance, and unlocking and securing buildings. Work consists of custodial services performed to a uniform standard, consistent with protocols and schedule trends, in a manner that results in the greatest efficiency, effectiveness and customer service. Maintains effective working relationships with Managers in Custodial Services and with other sections of Physical Facilities to coordinate overall University facilities management. Performs other duties as assigned. This role directly supports Miami University’s mission by maintaining a clean, safe, and well-maintained campus environment for students, faculty, and staff.Two Positions Available:
- One position oversees approximately six district custodial managers and a large Building Services team who primarily work 4:30 am to 1:00 pm, Monday through Friday; a small number of staff who work 10:00 pm to 6:00 am, Sunday through Thursday; and a minimal number of staff who work 4:00 pm to 12:00 am, Monday through Friday. Lighter weekend services are also provided.

Job Description
Essential Duties:
- Leadership-Management-Relationship with Superiors: provides direction, focus, guidance, support, training, prioritization and oversight for supervisory staff and work force; implements new and/or enforces existing programs, policies, processes and procedures that result in high levels of efficiency, performance, and effectiveness; keeps superior informed; is responsive to directives from superiors; supports the unit, departmental, and institutional goals
- Daily Management: directs routine custodial maintenance and operations for large in-house custodial staff and contracted services augmenting operations, including establishment of work priority and organizational structure; manages work in progress and inspects work to ensure quality control.
- The primarily 4:30 am to 1:00 pm Senior Operations Manager role partners closely with and/or provides coverage for the primarily 7:30am to 4:00pm Senior Operations Manager position. This position also provides support to Recreational, Sports, and Events Facilities.
- The primarily 7:30 am to 4:00 pm Senior Operations Manager role partners closely with and/or provides coverage for the primarily 4:30 am to 1:00 pm Senior Operations Manager position. This position may provide support to Recreational, Sports, and Events Facilities.
- Personnel Function: Staff retention, engagement, training and development. Enforces work rules; holds subordinates accountable for effectiveness and efficiency; screens/interviews job applicants; makes hiring recommendations; evaluates performance and participates in administration of discipline.
- Technical Support and Guidance: provides supervisors and staff with technical support, training and guidance relative to custodial maintenance operations. Incorporates industry best practices such as Lean principles and Six Sigma methodologies. Drives key performance indicators (KPIs) across safety, cost, productivity, and quality.
- Custodial Maintenance Function: develops programs and operational practices and policies for effective and efficient preventive maintenance, repair maintenance, and predictive maintenance programs; coordinates efforts with other organizational units.
- Long-Range Planning: provides building cleanliness assessments and long-range planning for custodial needs, including determination of priority.
- Record Keeping Function: develops policies and work practices that result in accurate and timely tracking of work requests, preventive maintenance efforts, labor and material costs; develops/prepares periodic reports detailing performance of the business unit.
- Implement Technology: responsible for the application of technology to the operation, such as equipment to provide quality or efficiency improvements with the delivery of services.
- Contractor Oversight: performs contract administration and recommends hiring of outside contractors.
Minimum Qualifications:
- Bachelor degree in facilities maintenance operations, engineering, business management, labor relations or relevant field of study plus a minimum of 3 years of full-time experience managing in house staff and/or contractors in support services or customer service operations relevant to the position (OR)
- Associate’s degree in facilities maintenance operations, engineering, business management, labor relations or relevant field of study plus a minimum of 5 years of verifiable full-time experience managing in house staff and/or contractors in support services or customer service operations relevant to the position (OR)
- A minimum of 10 years of verifiable full-time experience managing in house staff and/or contractors in support services or customer service operations relevant to the position.
Preferred Qualifications:
- APPA Leadership in Educational Facilities CEFP (Certified Educational Facilities Professional and/or SHRM (Society for Human Resources Management Certificate CP or SCP)
Required Knowledge Skills and Abilities:
- Knowledge of Custodial Function - thorough knowledge of methods associated with maintenance, repair, and operation of elements noted above; thorough knowledge of safety regulations, safe work practices and industry best practices.
- Technical Understanding - ability to read, interpret, and understand drawings, specifications, and other technical data.
- Attention to Detail - ability to maintain detailed and complete records of maintenance and repair activities.
- Communication Skills - ability to communicate effectively, both verbally and in writing, to a wide range of persons.
- Customer Service Skills - thorough understanding of modern customer service theories, practices and methods.
- Managerial Complexity - must be able to successfully handle multiple tasks at once, and be able to determine appropriate priorities; must be able to make independent interpretations and make appropriate decisions that are in the best interest of the organization; supports the objectives of upper-management.
- Computer Skills - must be proficient in the use of business application software to include; word processor, spreadsheet, and database programs. Knowledge of purchasing, performance management, applicant tracking, and computerized maintenance-management software
- Work Schedule - ability and willingness to work evenings and/or weekends; ability and willingness to participate in 24 hour on-call rotation and seasonal inclement weather/weather emergencies.
Preferred Knowledge Skills and Abilities:
- Working knowledge of custodial maintenance, including related building fixtures, equipment, chemicals, green cleaning practices, commercial cleaning processes and adult training programs.
